Things gone wrong in meeting room settings


There is no secret. If your room settings are wrong, you're putting your presentation at great risk, unless you or your team members really excel at doing the show. Very few people do this perfectly.

I remember a big event that took place in a five-star hotel a few weeks ago. I insisted on having a tight control on the hotel "ball room" settings, knowing that many options were open, providing things got organised the right way. Unfortunately, my client said that their communication team were also paid for taking care of this small thing and that I'd rather concentrate on the contents and performance level of the speakers. Well, customer is king.

What was the result? It didn't go badly, actually. Still, there were 4 things that went completely wrong:
 

The meeting room was set up in lines, like in a typical classroom. No presenter's circulation was possible.

The screen was big but 20% of the bottom of all slides was not readable from row 3 on. There were 20 rows.

Mikes were malfunctioning, due to lack of preparation and no testing procedures.

Video recordings were unusable due to poor lighting and unskilled operation.

Now, you don't have everyday to cope with large events, I understand. However, your next meeting of 10 to 20 participants could be a failure. Why is that? Here are a few "possibilities": let's suppose presenter's circulation is impossible. Or everyone is totally relaxed, that means undisciplined. Or nobody insists on having cellulars shut down --not sure it won't happen! Or people can access their emails during the meeting. You see the picture. Here it is, somewhat overdriven, just in case I'm not clear enough:

Now let's be serious. There are many conditions to succeed in having the right settings. Let's make it short here.
